Probably quite a few&#8230;<\/span><\/p>\n<h3><b>Set a clear purpose.<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">After all, <\/span><b>an agenda is a written guide for helping you achieve the meeting&#8217;s purpose<\/b><span style=\"font-weight: 400;\">. Just as I prepare <a href=\"https:\/\/adamchristing.com\/blog\/what-is-the-role-of-the-master-of-ceremonies\/\">for a corporate event<\/a> as a master of ceremonies, I know that an organized agenda must <\/span><i><span style=\"font-weight: 400;\">lead<\/span><\/i><span style=\"font-weight: 400;\"> somewhere. People shouldn&#8217;t need to search for the purpose.<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Perhaps folks are gathering to review the final candidates for an available position. <\/span><b>The purpose is to officially choose who will receive an offer<\/b><span style=\"font-weight: 400;\">.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Or you are gathering to distribute tasks for an upcoming <a href=\"https:\/\/adamchristing.com\/blog\/what-is-event-staff\/\">staff bonding<\/a> week. <\/span><b>The purpose is to leave everyone with clear marching orders<\/b><span style=\"font-weight: 400;\"> as the week approaches.<\/span><\/li>\n<\/ul>\n<h3><b>Set your goal before writing the agenda.<\/b><\/h3>\n<p><span style=\"font-weight: 400;\"><a href=\"https:\/\/adamchristing.com\/blog\/how-to-write-an-agenda-for-an-event\/\">An agenda<\/a> is a planning system, <\/span><b>a guide to help you achieve your goals<\/b><span style=\"font-weight: 400;\">. Here&#8217;s an example:<\/span><\/p>\n<h4><b>One of your important tasks Is to hire a<\/b>\u00a0<a href=\"https:\/\/www.mi.edu\/education\/the-5-best-ways-to-become-a-dj\/\" target=\"_blank\" rel=\"noopener\"><b>DJ<\/b><\/a><b> for your <a href=\"https:\/\/adamchristing.com\/blog\/fundraisers-how-to-be-a-great-emcee\/\">nonprofit&#8217;s fundraiser<\/a>. But as you&#8217;re planning, you realize that you have questions:<\/b><\/h4>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What kind of music do we want them to focus on?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Do we know any DJs who have worked for other local nonprofits? Do they offer a discount rate?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What kind of space will the DJ have to work with? Equipment? Budget?<\/span><\/li>\n<\/ul>\n<p><b>It will be faster to get the group together and answer these questions all at once.<\/b><\/p>\n<h3><b>What information does everyone need to know?<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Alternatively, <\/span><b>you may not have questions for the group &#8211; you have information<\/b><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Maybe there is a big change in senior leadership and you know the team will have questions. Or the company is rebranding for the first time in its life cycle. Organize your agenda the same way a corporate emcee would <a href=\"https:\/\/adamchristing.com\/hire-an-mc-for-corporate-events\/\">organize a corporate event<\/a>.\u00a0<\/b><\/p>\n<h3><b>Get into the habit of planning an icebreaker for the group.<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">This can be <\/span><b>verbal<\/b><span style=\"font-weight: 400;\">, like going around the room and sharing your favorite<\/span> <a href=\"https:\/\/d23.com\/list-of-disney-films\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">Disney<\/span><\/a><span style=\"font-weight: 400;\"> film. Rather than move sporadically through different topics, <\/span><b>explain the overall goal.<\/b><\/p>\n<h3><b>Why is it important to zoom out like this?<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">You will <\/span><a href=\"https:\/\/adamchristing.com\/blog\/why-is-productivity-important-in-the-workplace\/\"><b>increase productivity<\/b><\/a><span style=\"font-weight: 400;\"> throughout the session if everyone understands its goal from the outset. <\/span><b>Help your team stay focused by making your intentions clear.<\/b><\/p>\n<h3><b>Fill in the blank:<\/b><\/h3>\n<p><b>&#8220;By the end of this session, we will have done\/decided ________.&#8221; <\/b><span style=\"font-weight: 400;\">Write it on a<\/span>\u00a0<a href=\"https:\/\/www.walmart.com\/browse\/office-supplies\/whiteboards\/1229749_1565348_4161504\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">whiteboard<\/span><\/a><span style=\"font-weight: 400;\"> or drop a note in the group chat so everyone can refer back to it. Build their tasks around it.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">You will be amazed at how this helps your team stay organized and on topic!<\/span><\/p>\n<p><b>Once everyone is clear on the overall purpose of the session, it&#8217;s time to move forward. Let&#8217;s move through this agenda!<\/span><\/p>\n<h3><b>This sounds silly, but add watching<\/b> <a href=\"https:\/\/en.wikipedia.org\/wiki\/Dora_the_Explorer\" target=\"_blank\" rel=\"noopener\"><b><i>Dora the Explorer<\/i><\/b><\/a><b> to your to-do list!<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">In the children&#8217;s show, Dora uses a map that clearly indicates how to reach her final destination. <\/span><b>We are at Point A. We want to reach Point C. In order to do so, we must go to Point B first.<\/b><\/p>\n<p><span style=\"font-weight: 400;\">Now, you may have bigger tasks and bigger projects to organize than Dora. Perhaps you need to move from Point A to Point G, or even Point Z!<\/span><\/p>\n<h3><b>When there are lots of moving tasks and moving parts, I find that it helps to work backward.<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">As you <a href=\"https:\/\/adamchristing.com\/blog\/how-to-be-a-great-emcee-agenda\/\">organize your agenda<\/a>, <\/span><b>think about your final goal and move backward<\/b><span style=\"font-weight: 400;\">.<\/span><\/p>\n<h4><b>Here&#8217;s an example:<\/b><\/h4>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Our <\/span><b>final goal <\/b><span style=\"font-weight: 400;\">is to host a fun day of staff bonding.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">That day will <a href=\"https:\/\/adamchristing.com\/blog\/game-show-ideas\/\">include games<\/a>, food, and prizes.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will need to <\/span><b>budget<\/b><span style=\"font-weight: 400;\"> how much money we have for each of those buckets.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will need to form <\/span><b>committees<\/b><span style=\"font-weight: 400;\"> to tend to each matter.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will need to decide the date <\/span><b>and where<\/b><span style=\"font-weight: 400;\"> this day will take place.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We must poll the staff for their <\/span><b>availability<\/b><span style=\"font-weight: 400;\">.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">See how thinking backward helps with your planning. But <\/span><b>what mode of transportation <\/b><span style=\"font-weight: 400;\">will you use to get from beginning to end?<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Here&#8217;s what I mean: <\/span><b>there are many ways to structure a conversation.<\/b><\/p>\n<h3><b>Let&#8217;s talk about different methods to help the conversation stay organized and productive:<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">As you read about these options, consider your team. How do they usually prefer to communicate? Which method lends itself to the best time management?<\/span><\/p>\n<h4><b>Round Robin-style<\/b><\/h4>\n<p><span style=\"font-weight: 400;\">You can structure the agenda using a round-robin<\/span><span style=\"font-weight: 400;\">\u00a0system. This is <\/span><b>helpful when multiple people or departments have updates to share <\/b><span style=\"font-weight: 400;\">with the group.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In advance, provide each department with a list of items they should prepare for the group. As you are organizing the agenda, start with one team, then move to the next. And so on.<\/span><\/p>\n<p><b>This method ensures that everyone gets equal time to speak.<\/b><\/p>\n<h4><b>Popcorn style<\/b><\/h4>\n<p><span style=\"font-weight: 400;\">The popcorn system is for <\/span><b>less tightly structured<\/b><span style=\"font-weight: 400;\"> meetings.
