(For ideas of what should go on the to-do list, keep reading!)<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Depending on the sort of meeting, you may have lots of preparation to do, or very little.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Either way, do yourself a favor by checking who is running the meeting early. If you are the former, you may have an entire presentation to put together! (Not to mention <a href=\"https:\/\/adamchristing.com\/hire-an-mc-for-corporate-events\/\">your act as a corporate emcee<\/a>!)<\/span><\/p>\n<h3><b>Don&#8217;t save your presentation for the meeting time<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">I highly encourage you to rehearse your talking points. Define your meeting purpose with clear objectives.<\/span><\/p>\n<h3><b>To avoid running unproductive meetings, define your meeting objectives early on.<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Take advantage of having a group of participants together in one place (whether in person or over conference call).<\/span><\/p>\n<h4><span style=\"text-decoration: underline;\"><b>Your goal may be:<\/b><\/span><\/h4>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">To reach a consensus on a particular matter<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">To introduce a new board member to team members, and vice versa<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">To give those running for executive leadership a platform to make speeches and answer questions<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">To host a creative brainstorming session about ideas for next quarter&#8217;s<\/span> <a href=\"https:\/\/instapage.com\/blog\/marketing-blogs\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">marketing strategy<\/span><\/a><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">No matter what the goal is, it should center around having meeting participants together. Otherwise, why couldn&#8217;t this have been an email?<\/span><\/p>\n<h3><b>Set a clear agenda<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">You may have a defined goal, but a loquacious group can throw any meeting off track. Avoid this by <a href=\"https:\/\/adamchristing.com\/blog\/how-to-create-an-agenda-for-a-meeting\/\">creating an agenda<\/a>, an outline of topics and at exactly what meeting time they will be discussed.<\/span><\/p>\n<h4><span style=\"text-decoration: underline;\"><b>I recommend distributing the agenda to team members before the meeting.<\/b><\/span><\/h4>\n<p><span style=\"font-weight: 400;\">This allows them time to:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Familiarize themselves with what is to come;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Prepare to discuss any questions.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">All in all, you&#8217;ll save time, which makes for productive <a href=\"https:\/\/adamchristing.com\/blog\/meeting-entertainment\/\">business meetings<\/a>.<\/span><\/p>\n<h3><b>Leave room for conversation<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">This may sound counterproductive, but I recommend building open discussion into your agenda.<\/span><\/p>\n<h4><span style=\"text-decoration: underline;\"><b>Tell the team ahead of time that they&#8217;ll have a chance to voice their opinions &#8211; at the end.<\/b><\/span><\/h4>\n<p><span style=\"font-weight: 400;\">Why at the end? It is good practice for many reasons, including:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Employees will develop ideas throughout the meeting and be eager to work <a href=\"https:\/\/adamchristing.com\/blog\/how-to-organize-an-agenda\/\">through the agenda<\/a>;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">If <a href=\"https:\/\/adamchristing.com\/blog\/how-to-write-an-agenda-for-an-event\/\">urgent agenda items<\/a> were addressed, the team won&#8217;t want to stay after the designated end time. You&#8217;ve hired eight new people since the last meeting!<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">No matter what you need, be sure to secure early. <\/span><b><span style=\"text-decoration: underline;\">Test it out, too<\/span>.<\/b><span style=\"font-weight: 400;\"> Sometimes audiovisual equipment doesn&#8217;t work quite right, or the printer jams. You&#8217;ll save yourself lots of stress by completing these tasks early.<\/span><\/p>\n<h3><b>Reserve your space<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">From a conference room to a coffee shop, meeting rooms must be reserved in advance. You never know if other departments or groups want to use the same one.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Avoid awkward run-ins by coordinating with the administrator who handles the space. Ensure that it is available, and that you&#8217;ll have enough chairs and tables.<\/span><\/p>\n<h3><b>Location impacts a successful meeting<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">It may be your instinct to <a href=\"https:\/\/adamchristing.com\/blog\/event-host\/\">host events and business meetings<\/a> in a conference room or classic meeting room. But you can have effective business meetings in many places, depending on your goals.<\/span><\/p>\n<h4><span style=\"text-decoration: underline;\"><b>Client meetings<\/b><\/span><\/h4>\n<p><span style=\"font-weight: 400;\">For example, a regular meeting room may not be the place to wow your clients. Let&#8217;s say you have an important meeting coming up with a client. You want them to invest in your eczema-friendly skincare line.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">You could bring them to a formal office with high-backed seats and chilly air conditioning. Or, you could get creative!<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Head to a<\/span>\u00a0<a href=\"https:\/\/www.bathandbodyworks.com\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">commercial bath and body store<\/span><\/a><span style=\"font-weight: 400;\">. Invite multiple speakers who love your products and can point out why mainstream skincare isn&#8217;t always eczema-friendly. Your potential investor will hear personal stories of how your organization helps people.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">That is powerful!<\/span><\/p>\n<h4><span style=\"text-decoration: underline;\"><b>JOB INTERVIEW WITH POTENTIAL EMPLOYEES<\/b><\/span><\/h4>\n<p><span style=\"font-weight: 400;\">I&#8217;ll say this: job interviews don&#8217;t need to feel like traditional business meetings!<\/span><\/p>\n<p><span style=\"font-weight: 400;\">They&#8217;re all about getting to know each other and finding the right fit. Why does that need to happen in an intimidating office? Let me give you an example.<\/span><\/p>\n<h5><span style=\"text-decoration: underline;\"><b>If you&#8217;re hiring, consider this:<\/b><\/span><\/h5>\n<p><span style=\"font-weight: 400;\">Meet the interviewee in a neutral setting, like a coffee shop or mini golf course. Focus on having a good time and getting to know who they are. Bring <a href=\"https:\/\/adamchristing.com\/blog\/game-show-ideas\/\">games or puzzles<\/a> to see how they solve problems and address concerns.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This example of a creative interview style will set you apart to potential employees. It will also give you a well-rounded picture of the candidate and how they approach problem solving. But you want to provide enough that they can feel prepared.<\/span><\/p>\n<h3><b>Here are some tips on how to communicate with attendees:<\/b><\/h3>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Get the meeting on everyone&#8217;s calendars as far in advance as possible. This way, participants can work their schedules around it, instead of the other way around. There are services to help you find the best time for everyone, like X and X.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Once the meeting is set, don&#8217;t overwhelm participants with communication. Give everyone a reminder a week out, and a 24-hour reminder.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">If the meeting is virtual, always include the conference call or video conference link.<\/span><\/li>\n<\/ul>\n<h2><b>Prepare for a wrap-up!<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">The work you put in to planning a business meeting will not go unnoticed.
